Create the year end submission file

Before creating a submission file you should check the End of Year Namespace on the Payroll > Module Setup > Module Definitions > Gateway tab. For the year 2011-12 this should be left blank.

To create a file of  P14/P35 information ready to send to the government gateway, click Payroll > Pre-Printed Stationery > Year End Returns.

A wizard guides you through creating the file in the format required for transmission.

On page 1, select the template for which the return is to be made from the drop-down list. You can include further templates on page 6 of the wizard.

On page 2, specify the year for which the return is being made. This is very important. If you have moved the payroll into the new tax year, you must change the year displayed by default in Year of Data. Note that  the tax year ending 05/04/2012 could be called 2011 or 2012 and it depends on your set up.

On page 3, enter the year you want to appear on the return. For 2011-12, this could be 2011.

On page 4, select External Formats.

On page 5, select the transfer template for the year end submission from the drop-down list. For information about how to set up a transfer template, refer to Set up a transfer template for year end submission.

On page 6, select any additional templates to be included in this return. Your organization may have other payroll templates that can be submitted separately, or included with the template selected on page 1 to make one single submission. Highlight additional templates in the left-hand column and use the > button to move them to the right hand column.

If you operate only a single payroll template, you can ignore this page.

After you have completed your selection, click Finish to create the file.

The file is created in the folder specified in the Filename field in the Transfer Template window for the transfer template used for the year end submission.

You should review the submission file and check it for any errors before you send it to HMRC. HMRC has a Local Test Service tool you can use to check your submission file.
